Getting Started

Projects in the fictional Example Design Studio.
Projects in the fictional Example Design Studio.

Arccora keeps reusable product knowledge and Project work together. You work inside one Workspace at a time, such as your design studio. Each Workspace has its own Projects, catalog and Suppliers.

  1. Sign in with your email and the verification code.
  2. Choose your Workspace. If you were invited, accept that invitation instead of creating an unrelated Workspace.
  3. Open Projects and choose a Project, or use + to create one if permitted.
  4. Open Spaces and add a room or area.
  5. Open the Space and use Add Product to select Variants and quantities.
  6. Use Activity to record progress with photos.

The four tabs are Projects, Inbox, Products and More. The Projects screen is titled with your active Workspace. Its three-dot menu lets you switch Workspaces without an extra bar on every screen. In a wide iPad layout, Projects use a sidebar beside the selected Project.

In forms, × cancels and ✓ saves or continues when the required information is valid. A standard back arrow returns to the previous screen. Actions such as Freeze, Issue and Ship ask for confirmation because they preserve important history.

Your Account

Enter your email on Sign In, tap Continue, enter the code, then tap Verify. The same flow supports existing and new users. Use Resend Code if necessary; use the back arrow to correct your email.

Your account can belong to several Workspaces. Signing in does not grant access to another company's data.

To sign out, open More → Account → Sign Out, then confirm. Sync first if you need your latest changes on another device. Signing out does not delete your shared Projects or pending local changes.

Account deletion and a full account export are not available in this build. Do not delete the app as a substitute: it can remove unsynced local data without deleting your cloud account. Ask your Workspace administrator about membership changes.

Workspaces

Open the Projects list and tap the three-dot menu beside +. The current Workspace has a checkmark. Choose another Workspace to change the entire app context: Projects, Products, Suppliers and Inbox. You can also open More → Workspaces.

Arccora remembers your selection on this device. Opening a Workspace for the first time needs a connection. If your access changes, Arccora may ask you to choose another Workspace.

Create or rename a Workspace

Choose Manage Workspaces from the Projects menu, or open More → Workspaces. Enter a name under New Workspace, then tap Create Workspace. It starts empty; no other Workspace's records are copied.

Owners and Admins can open Workspace Settings, edit the name and tap Save Name. Renaming does not move or replace Projects.

Accept an invitation

Sign in with the email the invitation was intended for. Open Workspaces, enter the invitation code and tap Accept Invitation. A pending invitation alone is not access. If it expired or was already used, ask the inviter for a new one.

Members & Permissions

Workspace Owners/Admins manage More → Workspaces → Members. Project Admins manage Project → Members. Invite using the person's email and the appropriate role. Share the generated invitation code through your agreed channel; do not assume Arccora sent an email automatically.

Workspace roles describe access to shared knowledge: Owner, Admin, Catalog Editor, Member and Guest. Owners/Admins can access all Workspace Projects. Other users need a Project assignment.

Project roles are Project Admin, Editor, Contributor and Viewer. Editors can work on design and operational records. Contributors primarily add site evidence, Activities and Issues. Viewers cannot edit. Commercial information requires additional permission and is not downloaded merely to be hidden.

Being allowed to add a Product to a Space does not mean you may edit the reusable catalog Product. Guests see only catalog knowledge related to their assigned Projects. Arccora HQ review is separate platform authority; being a Workspace Owner does not grant it.

Use Manage Access → Revoke Access, then confirm the scope, to remove membership. Cancel leaves access unchanged. Revocation blocks new server requests. An entirely offline device cannot learn about revocation immediately. Reconnect and sync to refresh access. The last Workspace Owner cannot be removed without another Owner remaining.

Projects

Project home groups design and delivery work.
Project home groups design and delivery work.

Open Projects, then choose a Project. In a wide iPad layout, choose it from the sidebar. Use + to create a Project; its name is required, while code and location help your team identify it.

The Project home groups frequent work under Design, progress under Progress & Delivery, and supporting tools under Project Information. Issues shows the number currently open. Use Activity for recent evidence; use Procurement for sourcing, orders and shipment records when permitted.

Open Spaces, FF&E, Components, Schedules or Documents directly from the Project. Project Inbox contains sources assigned to it. BIM Models contains reviewed imported models.

An Edit button appears when you can manage the synced Project. If another user changes a record while you edit it, review the update warning instead of repeatedly saving an old draft.

Spaces

Open Project → Spaces. Spaces can form a hierarchy, such as Floor → Dining Room. Add a Space with +, enter its name and optional code/type/parent, then save with ✓.

Open a Space for its details and Products / FF&E first, followed by Activity, milestones, capture, Documents and visuals. Use the pencil to edit its basic details. A Space cannot be its own parent or be placed beneath its own descendant.

Use Add Product to add design requirements. Photos documenting the room belong in its visuals or Activity; reusable catalog photos belong to a Variant.

Products & Variants

A Workspace catalog containing fictional products and materials.
A Workspace catalog containing fictional products and materials.

Open the Products tab to browse your Workspace catalog. Search by Product, manufacturer or tag. A Product is a reusable family, such as Dining Chair. Its Variants describe selectable versions, such as White Oak / Natural Linen.

Open a Product for its image, identity, Tags and Variants. Open a Variant for article/SKU identifiers, Specifications, images, technical documents, Components and Supplier Offerings. Use the pencil where your permissions allow editing.

Specifications and Components belong to a Variant. If a change creates a different design, use a new or existing Variant rather than changing the meaning of a version already used elsewhere.

Use + in Products for manual creation. For a website or document, start in Inbox so its evidence is retained. Missing images do not prevent you from using a Product.

Adding Products to a Space

Select Variant quantities before adding them to the Space.
Select Variant quantities before adding them to the Space.
  1. Open Project → Spaces → your Space → Add Product.
  2. Search your Workspace catalog and open the Product.
  3. Increase the quantity beside each Variant you need. Quantities start at zero.
  4. Tap ✓ to add the selected quantities to that Space.

If you start from Project → FF&E → Add Product, choose the destination Space before saving. Tapping a Variant's identity opens its details; the quantity control chooses how many to add.

If that Variant is already in the same Space, choose deliberately between increasing the existing quantity, opening the existing item, or creating a separate FF&E item.

An Arccora Catalog result uses Add to Workspace & Project. This first creates or reuses an independent Workspace copy; the Project never relies directly on the shared catalog record.

FF&E

FF&E means the furniture, fixtures and equipment required in a Project. Open Project → FF&E, or open a Space's FF&E list. By Space preserves individual room items; BOQ groups requirements for review without merging the underlying items.

An FF&E item has its own quantity, Space and optional code. Its current Variant supplies the product specification. The quantity here is the design requirement; a Purchase List or Schedule does not replace it.

Open an item to review Current Configuration, Change Variant, lifecycle Images, Project Documents, procurement and history. Changing the Variant keeps the FF&E item's identity and history. It does not create a private specification override on that item.

Product images describe the reusable Variant. FF&E images document this item's Project lifecycle. Keep these uses separate when adding photos.

Components & Materials

Component use and approval stay specific to the Project.
Component use and approval stay specific to the Project.

Open Project → Components to see parts, materials and finishes used by the Project's current FF&E. For example, a Dining Chair may use White Oak and Natural Linen.

A Component is still ordinary Product/Variant knowledge. It appears here because another Variant references it. It is not automatically another quantity of FF&E.

Open a Component to see Used In Project, known quantities, approval evidence, open Issues and Activity. A direct quantity may multiply the parent FF&E quantity. Different units remain separate; indirect or informative use may have no meaningful numerical total.

Use Add Activity to record an approval or problem for this Project. Approval in one Project is not global approval of the catalog Variant. Catalog Variant opens the reusable specification.

Arccora Catalog

The Products and Add Product screens distinguish your Workspace catalog from Arccora Catalog. Arccora Catalog is a shared read-only source, not another working Workspace.

Open a shared Variant and choose Add to Workspace, or Add to Workspace & Project when adding FF&E. Only the selected Variant and its required catalog knowledge are copied. Previously copied source Variants are reused.

The Workspace copy has independent identity and may be edited according to your catalog permissions. From Arccora Catalog identifies its origin. Later source changes do not silently update your copy, and source archive does not remove it.

No results may simply mean the shared library does not yet include that item. Continue with your own Workspace catalog or import a source through Inbox.

Activities

Open Project → Activity, or Add Activity from a Space, FF&E item or Component.

  1. Choose the Product/FF&E or Space context if it is not already selected.
  2. Choose the Activity type and date; add useful notes or progress where applicable.
  3. Attach at least one image using the available Photos, Files or existing Project evidence action.
  4. Add Issues, select Issues resolved by this evidence, or complete the relevant Space Milestones.
  5. Save with ✓.

Activity is retained evidence. A “Shipped” Activity is an observation; it does not change ordered or packed quantities. Use Packing Lists for physical shipment contents.

Issues

Open Project → Issues for Issue history, or find Open Issues in Activity and context details. An Issue describes something needing attention, with evidence and a target.

To raise one, add an Activity with a photo and choose Add Issue. To resolve it, create a later Activity for the same context and select the Issue it resolves. Both evidence records remain available.

Resolved Issues leave the open list but remain in history. Older Issues may have no opening Activity; Arccora preserves that original history rather than inventing evidence.

Space Milestones

Open a Space and choose Add Milestone. Enter its name and expected date. A milestone represents a practical stage, such as Waterproofing or Final Installation.

To complete it, add an Activity for that Space, attach evidence and select the milestone to complete. Its actual date and completing Activity remain available in the milestone detail.

Changing an expected date is planning. Completing the milestone records evidence; the two are different actions.

Schedules

Open Project → Schedules. The Master Schedule includes the Project's live FF&E automatically. A Custom Schedule contains a selected set.

To create a Custom Schedule, use +, choose FF&E or Components, enter a name, select items and tap ✓. Selections accumulate while you change filters. Select All applies to the currently visible results; it does not save the form.

Working shows the current presentation and live facts. Freeze Revision preserves a historical snapshot, then starts the next Working revision. Creating a Custom Schedule starts with Rev 01 Frozen and Rev 02 Working.

Open an older Frozen revision to see what it contained at that time. Frozen display fields do not change when current Products or quantities change. Frozen Schedules are not the authority for today's required quantities.

Material Boards

A Material Board presents selected Project Components.
A Material Board presents selected Project Components.

Create a Material Board through Project → Schedules → +. Choose Components, name it “Material Board”, select the desired materials/parts and save.

Open its Working revision to review images, identity, approval evidence and known usage. Use Edit Contents to change the selected Components and their order. Freeze a revision when you need a retained presentation.

Use Project Components to record approval Activity or Issues. A material from Arccora Catalog must first enter the Workspace catalog before it can be used by Project FF&E and its Material Board.

Documents

Open Project → Documents, a Space's Documents, or an FF&E item's Documents. Use + → Add Document to create a logical Document and attach its first file. Give it a useful number/title and classification.

A Document is the continuing identity, such as Dining Room Elevations. Each Revision retains one historical file and its date/purpose. Open the Document to view the latest revision or choose an older one.

Use Add Revision for a replacement issue; do not create an unrelated Document just to keep the same drawing's history. File and image viewers have their own close/back controls. Download needed files while connected before a site visit.

Inbox & AI Import

Start with evidence: open Inbox and import a link or file. Images, documents and model files retain their source before review. Use Project Inbox or assign a source to a Project when the information is private to that job.

For a Product URL, use Open & Analyze. If the site blocks direct retrieval, Open Page lets you view it normally; use Import Page after it loads. Some sites remain unavailable. Do not treat a failed extraction as a confirmed Product.

Open the resulting proposal, inspect the Product image, identity, Tags, Specifications and Supplier facts. Accept or correct useful information and retry weak fields when appropriate. Match Catalog checks existing identities before the final creation/enrichment decision.

An exact match may offer an existing Variant, enrichment or a Supplier Offering instead of another Product. Choose a new Variant when the design differs. Similar names alone do not safely establish identity.

After confirmation, open the created Product/Variant or add it to a Project. AI output is a proposal until reviewed. Cancelled forms may retain their original Inbox evidence for later work.

Public Product Contributions

Inbox offers an optional notice about contributing reusable public product facts. Accepting it enables eligible, source-verified contributions after your Workspace review; ignoring it does not block private AI imports.

Your Workspace Product is not shared globally. A separate candidate may contain approved reusable public facts. Private Project, commercial and personal content is excluded. Images and PDFs are not automatically republished because a website is publicly accessible.

Arccora HQ reviews candidates before publication. Your import does not wait for HQ. The notice is product-policy information, not a substitute for approved legal Terms.

Suppliers

Open More → Suppliers. Suppliers belong to the active Workspace. Open one to inspect its contact and catalog/procurement relationships; edit only when permitted.

A Supplier Offering describes how a Supplier offers a Variant, including its commercial information. A Project may copy that information into a purchasing record; later Offering edits do not silently rewrite retained Project prices.

Commercial visibility depends on permission. A missing price can mean it was not supplied or that you are not permitted to receive it; do not assume zero.

Procurement Overview

Open Project → Procurement. Specified is the live FF&E requirement. In Purchase Lists is sourcing coverage. Ordered comes from effective Issued Purchase Orders. Remaining to Order compares commitment with the current requirement.

The journey is Purchase List → Quotation → Purchase Order → Order Confirmation → Packing List → Shipping Event. These records have different meanings; one does not automatically become the next.

Search and filters narrow Requirements without changing the whole-Project totals. Commercial fields and actions require appropriate Project permissions. If FF&E changes after sourcing or ordering, review the resulting warning; historical commitments do not silently rewrite themselves.

Purchase Lists

Use Project → Procurement → + → New Purchase List. Choose the Supplier, select requested quantities and save. A list means “what we are considering or sourcing from this Supplier”.

Requests may overlap across Suppliers. They do not count as Ordered. Open a list for its lines, quantities, commercial details and Space breakdown.

If FF&E Changes appears, open Review Changes. Review the old baseline, current requirement and proposed action before updating Working sourcing data. Do not dismiss the warning by assuming an old requested quantity is today's requirement.

Quotations

A Quotation is a Supplier's offer. Prefer importing its source into Inbox and reviewing it. For manual entry, use Project → Procurement → + → New Quotation, choose the Supplier and select relevant requirement lines.

Open a Quotation to inspect Product lines, service/charge lines, currency and source files. Add Product Line selects a requirement; Add Service / Charge adds a non-Product cost. Unresolved lines show matching controls.

Use Edit Commercial Details to correct a line's supplied commercial values. A Quotation is not a commitment, and its price does not overwrite the catalog or other Project records automatically.

Purchase Orders

A Purchase Order records committed purchasing. Open it under Project → Procurement → Purchase Orders. Working is editable. Issue Revision validates and seals the current content, then prepares the next Working revision.

Before issuing, check Supplier, currency, quantities, exact FF&E allocation, prices, charges and evidence. Confirm the issue action only when the commitment is intended.

The latest effective Issued revision of each active/closed PO contributes to Ordered. Historical revisions remain readable and must not be added together. PO revisions are called Issued, not Frozen.

Order Confirmations

Open the Purchase Order and its Order Confirmations. Create a Draft against an exact Issued PO revision, review what the Supplier confirmed and attach the supplier evidence where available.

Use Record as Received after review. A Received revision is retained history and identifies the exact PO revision it answers. A later confirmation requires another explicit Draft/revision.

An Order Confirmation does not change Ordered quantity. Resolve a commercial change through the appropriate PO workflow instead of treating a supplier confirmation as a new order.

Packing Lists

A Shipped Packing List retains its exact contents and journey.
A Shipped Packing List retains its exact contents and journey.

Use Project → Procurement → + → New Packing List. Select available ordered allocations and quantities travelling together. Add a useful reference, planned ship date and destination.

Planned is editable allocation. Review any changed-order warning before continuing. Mark as Shipped seals the exact physical contents; confirm only when appropriate. Shipped contents cannot be edited like a draft.

An available quantity is checked against issued order provenance and other packing allocations. Do not reuse an already packed quantity merely because a later PO revision exists.

Shipping Events

Open a Shipped Packing List and choose Add Shipping Event. Record the event type, actual date/time, location, carrier/tracking references and notes/evidence as available.

The timeline records what happened to this shipment, such as collection or delivery to site. Events are append-only evidence. They do not add, remove or split the Packing List's quantities.

Spatial Capture & Models

Open a Space and its Capture area. Start Capture requires supported LiDAR/RoomPlan hardware. Follow the on-device scanning instructions. Unsupported devices explain the requirement and can still view available data.

Before Finish Scanning, use Scan More when the capture offers it. Finishing preserves the captured state. Verification, measurements and model review then become available.

Use Update Scan only after reading its warning. Start New Capture Revision records a new physical-state revision, not an ordinary file edit. Historic captures remain separate.

Measurements provide evidence. Review conflicts rather than guessing geometry. Clean/Current models and frozen model revisions have distinct roles; inspect the current screen's warnings before editing or publishing. Simulator screenshots cannot prove scan accuracy or physical measurement quality.

For IFC, import through Inbox, review proposed Spaces/Products and matches, then commit. Do not expect every source file to contain usable Product geometry. Keep the source file for comparison.

Working Offline & Sync

Open More → Cloud Sync. Arccora syncs in the foreground when you launch/return, save changes or use Sync Now. It does not continuously synchronize while closed.

Up to Date means no local changes are waiting. Pending Changes are retained on this device. Offline means a connection is unavailable. Needs Attention means a change requires review; it is not silently discarded.

Before a visit, open the Workspace, Project and needed files while connected. A Workspace's first download and new cloud-only files require a connection. Switching Workspaces does not send one Workspace's pending changes into another.

For Needs Attention, open Review Changes Needing Attention or Review Rejected Changes, as offered. Inspect the explanation before choosing an available recovery action. Do not uninstall, reset or repeatedly retry a permanent validation rejection. Use Sync Diagnostics for support evidence.

After losing membership, new server operations are refused even if an edit was made while offline. Locally retained evidence may need administrator-assisted recovery. Two devices should be online and foregrounded to verify convergence.

Using Arccora with ChatGPT

Arccora can be connected to a compatible remote MCP client. Ask your Arccora administrator for the connection address. Availability depends on your ChatGPT account and workspace policy.

OpenAI's connection instructions checked on 19 September 2026 use this path:

  1. In ChatGPT, open Settings → Security and login → Developer mode.
  2. Open Plugins, select +, and enter a name and description.
  3. Under Connection, enter the Arccora address supplied by your administrator, including its final /mcp path. Create the connection.
  4. Complete Arccora sign-in and review the requested access and discovered tools.
  5. Start a new conversation and add the Arccora connection from the tools menu.

After an administrator updates Arccora's tools, open the connection in Plugins, select Refresh, and start a new conversation. Controls may change; see OpenAI's current connection guide.

Authenticate as yourself and grant only the displayed access. The current owner connection is read-only. It uses the same Workspace/Project permissions as Arccora; an OAuth connection is not permission to see every Project.

Start with “Which Arccora Workspaces can I access?”, then identify the Workspace for Project/catalog questions. Ask for fresh Arccora calls and source evidence, especially for current Issues, approval, order revisions and shipments.

Never paste account codes, bearer tokens or private installation links into a chat. Do not infer that ChatGPT performed a write because it described one.

Troubleshooting

Search the offline guide by task or topic.
Search the offline guide by task or topic.

I cannot see a Project or Product

Check the Workspace name first. Check search/filters, then your membership. A Guest cannot browse the full Workspace catalog, and a Workspace Member may see only assigned Projects.

A Save button is disabled

Complete required fields, select a Space/Variant where needed and use a valid positive quantity. Activity requires an image. Check whether you have permission to edit this kind of record.

My import failed

Keep the Inbox source. Check your connection, use the offered retry/Open Page action, or try an accessible source. A timeout does not make an unreviewed proposal accepted. Confirm the final result before creating another record.

A photo or file is unavailable offline

Return online and reopen it to download. A thumbnail does not guarantee the full file is cached. If access was revoked, ask your administrator rather than copying another user's link.

My change has not reached another device

Keep both devices open and connected, check More → Cloud Sync, then use Sync Now. Review Needs Attention on the originating device. Do not delete the app or its pending changes.

I need technical support

Open More → Diagnostics for sync/capture details and available export actions. Review exports before sharing them; business identifiers may be present. Include the Version/Build from More → About Arccora, the steps you took and whether the problem occurs offline.
